
PRIVACY POLICY RELATED TO THE TOURNAMENT KNOWN AS “GAMES OF THE FUTURE 2025”
Introduction
Thank you for using the Games of the Future website, accreditation platform, supplier platform and/or any other platform (collectively “Platforms”) associated with the event known as Games of the Future Abu Dhabi 2025 (“Event”). The Platforms are operated by ETHARA – SOLE PROPRIETORSHIP LLC (“Ethara”) a company registered in Abu Dhabi, United Arab Emirates or our partners (including Phygital International FZCO, the Event owner (“Phygital”)).
Ethara and its partners are committed to protecting your personal data and to respecting your privacy. This Privacy Policy sets out the basis on which Ethara will collect, use, process, disclose, share and protect your personal data.
When we refer to ‘’we”, ‘’our” or “us” in this Privacy Policy, we mean Ethara.
Reference to “you” or “your” in this Privacy Policy means participants, attendees, spectators and accredited staff of suppliers of the Event.
Applicability and Acceptance of Privacy Policy
The Privacy Policy describes your data protection rights, as well as the policies and procedures that we have in place to respect your privacy and keep your personal data secure.
Ethara is the data controller of any personal data provided to us or our partners from you. The Privacy Policy also covers those instances where Ethara or/and its group members, partners or affiliates process data jointly.
If you choose to limit the way in which you want us to collect, process or disclose any information, then you acknowledge that some aspects of the Platforms, the Event and related services may not be available to you.
By viewing and accessing the Platforms and/or attending or participating in the Event, you acknowledge and accept that Ethara shall have access to all of the personal data you submit on or through any Platform and/or otherwise provide to us in connection with the Event.
Sources of Personal Data
Your personal data may be obtained in various ways including (without limitation) automatically as you navigate through a Platform, attend or participate in the Event, or directly from you as a result of your interaction with or use of any features of our Platform or which you otherwise provide to us in connection with your entry to or attendance at the Event venue and/or participation in the Event (in each case, whether online, offline, over the telephone, through our mobile applications, via social media or otherwise).
Your personal data may also be obtained through filling out a physical or digital form (e.g. to apply for you or your team to participate in the Event), applying for an accreditation, and/or providing us with feedback.
When you visit our Platforms, we may also collect, process and use information about you and your use of our Platforms, including your login information, time zone setting, browser plug-in types, operating system, any forums you visit, a log of the visited pages and how you arrived at our Platforms. Such information may be collected through “traffic data” and may entail use of “cookies” or other tracking technologies, IP addresses or other numeric codes used to identify your computer.
Ethara shall be entitled to combine personal data collected in the course of your interaction with different sections of the Platforms or attendance at the Event with any other relevant available information.
Collection of data through third parties
Ethara may also obtain your personal data through third parties involved in the Event. For example, if your personal data is collected by Phygital or any of its group companies, your personal data will be sent to us for purposes connected to the Event (for example to facilitate your attendance or participation).
Ethara may also obtain your personal data through other third parties. For example, if you login to a site or app using Facebook Connect you will be asked if you wish to share information from your iFacebook account with us. Similarly, if you use a “like” or a “share” button for a feature on any of the Platforms or any third-party site or app (such as social media platforms), then the third party may share information with us. We sometimes will receive relevant information from third party ticketing sites, such as Ticketmaster or Platinumlist, to manage your purchases. We also receive information about individuals that the police, federations, team representatives or other sport stakeholders. We may also obtain information about you from third party demographics providers, which we may use to better understand our users and send them appropriate offers and information.
Other organisations may launch and operate websites, newsletters, platforms or other services that are (a) related to the Event, (b) related to Ethara’s activities, or (c) feature content belonging to Ethara, Phygital or otherwise connected to the Event. Such sites and services are operated independently from Ethara and are not covered by this Privacy Policy. We therefore encourage you to read the terms of use and privacy policies that are applicable to those sites and services. If we collect or otherwise receive personal data through them, this will be indicated in the site’s or service owner’s privacy policies and/or terms of use.
Legal Grounds for Personal Data Processing
We may process your personal data based on legal grounds including (without limitation) the following:
- Contractual Necessity: When we or one of our partners (including Phygital) have a contract with you, we will process your personal data to fulfill that contract;
- Consent: Your consent, as provided in this Privacy Policy or otherwise during your interactions with us and our partners;
- Legal Obligations: When we are required to comply with legal obligations, such as responding to court orders or regulatory requests;
- Protection of your/the public interest: For example, for security purposes; or
- Compliance with Applicable Legislation: As permitted by relevant laws.
Consent to Personal Data Processing
We may rely on your consent to process your personal data for various purposes such as to capture your participation at the Event through images, photography and videography or for direct marketing. You have the right to opt-out of direct marketing, which you can do by following the instructions in the communication where this is an electronic message, or by contacting us using the details set out below.
Where we have obtained your consent to process your personal data, you have the right to withdraw your consent. If you withdraw consent, you agree that we may continue to use your previously provided Personal Data to the extent necessary to fulfill contractual or legal obligations or as permitted by law.
By providing us with your personal data via the Platform, you consent and agree to our processing of your personal data in accordance with this Privacy Policy. This includes:
- Collecting, storing, using, disclosing, sharing, and transferring (including cross-border) your personal data provided to us or our partners, as well as any personal data collected from your use of the Platforms, attendance or participation of the Event and related services (e.g., data collected automatically and/or from other sources); and/or
- Use cookies and web beacons (including pixel tags) to collect your personal data and associate it with your computer and web browser.
In providing your consent to collect, use, disclose, share and protect your personal data, you are providing your consent to our respective agents, representatives and authorised third party vendors, partners and service providers including (where relevant) ticketing agents etc.
Cookies and other tracking technologies
We use cookies and web beacons on our Platforms in order to access visitors' preferences and record session information. The information that we collect is then used to ensure a more personalised service level for our users. Third parties also view, edit, or set their own cookies or place web beacons on our Platform. Cookies and web beacons allow us and third parties to distinguish you from other users of the Platform.
Cookies and web beacons are used by us and third parties for the following purposes:
- to analyse the traffic to our Platforms (for example, we can count how many people have looked at a specific page, or see how visitors move around the Platforms when they use it, and use this information to improve the Platforms);
- to help target advertisements which are more likely to be of interest to you;
- to allow us carry out retargeting (this is when advertisements are presented to you for products or services which you have previously looked at on a Platform);
- to allow you to interact with our Platforms on social media platforms;
- to enable certain features of our Platforms;
The use of these technologies by such third parties is subject to their own privacy policies and is not covered by this Privacy Policy, except as required by law.
You can control the cookies setting at any time on your browser so that you will be notified when you receive a cookie. Should you wish to disable the cookies associated with these technologies, you may do so by changing the setting on your browser.
Collection of Personal Data Collected
The type of personal data we collect depends on your interaction with us. Personal data is collected solely for the purposes that are clearly identified on the Platforms, in this Privacy Policy or otherwise communicated to you. While you can often choose whether to provide your personal data, opting out may limit your access to the full functionality of the Platforms or impact your attendance or participation in the Event.
We process various types of personal data including (without limitation) the following:
- First, middle and last name, nickname and/or unique identifier;
- Email address, contact number and address;
- Athlete information such as player number, position, achievements and category;
- Credit card and/or bank details;
- Citizenship, city, country, country of birth;
- Identification documents such as passport and/or Emirates ID;
- Date of birth;
- Gender;
- Height and weight;
- Images, photographs and videography;
- CCTV footage;
- Work information such as place of work, work address, department, country and city of the embassy;
- Information of athletes, coaches or other individuals whose activities are relevant to Event;
- Cookies and information from other tracking technologies.
If you provide us with any personal data relating to a third party (e.g. information of your dependent, spouse, children, parents or if you are providing information for members of a participating team), by submitting such information to us, you represent to us that you have obtained the consent of that third party to you providing us with their personal data for the respective purposes.
Minors
If we provide services to a minor where we need parental consent for this, we may ask for a parent’s email address, in order to verify and ask for consent.
If a minor has provided us with personal data without parental or guardian consent, the parent or guardian may request a description of the personal data that has been collected from or about that child and either limit or restrict any further maintenance or use of such information from that child and/or direct us to remove or unsubscribe them.
If you are under 21 years of age, you may only use our Platforms and services with the permission of your parent and guardian. We further encourage all parents and legal guardians to participate in or supervise their child or children's use of the Internet and involvement in the Platforms, and in their interactions with us.
Use of Personal Data
We use personal data for various purposes including (without limitation) to:
- Facilitate your participation or attendance of the Event and access to venues connected to the Event (including the main Event venue, training facilities and accommodation where applicable);
- capture your attendance and/or participation at the Event through images, photographs and videography (including broadcast and streaming);
- verify and enable you to register and be authenticated to participate in the Event, or to book travel and accommodation in connection with the Event;
- provide you with access to the Event through accreditation;
- managing event operations, safety and security;
- take payments made on our Platforms;
- manage your user account and your authentication;
- provide you with products and services and to respond to any comments or complaints you may send us;
- facilitate your interactions with partners and sponsors of the Event;
- assisting with visa, travel and accommodation requirements for Event participants;
- promote the Event and other events Ethara organises internationally and encourage participation;
- participate in competitions or other fan engagement opportunities that are provided through our services or through our partner organisations;
- provide you with goods, services, information or content that you have requested;
- transfer your data to selected third parties service providers;
- prepare and organise final events and tournaments;
- obtain parental consent to provide online services to children;
- generate reports and information materials on the results of the Event;
- monitor the use of the Event venues, Platform and online services, and using your information to help us protect our venues, products, content, services and Platform, both online and offline;
- use CCTV and other security measures to enforce our ticketing conditions, protect the health and safety of those at the Event venues, provide evidence in relation to incidents taking place within the Event venues and to prevent and detect unlawful activity;
- support any legal claims, compliance, regulatory and investigative purposes as necessary (including disclosure of such information in connection with legal process or litigation);
- respond to requests by government or law enforcement authorities conducting an investigation;
- invite you to take part in market research or to provide feedback;
- make it easier for you to use the Platforms or other services;
- personalize our Platform, products and services;
- send you direct marketing in relation to our relevant products and services, or other products and services provided by us and carefully selected partners and sponsors;
- communicate with you including informing participants about the results and news;
Disclosure of Personal Data
Ethara treats your personal data as confidential. You acknowledge and agree that your personal data will be disclosed and shared within and/or outside the United Arab Emirates in certain circumstances including (without limitation) the following:
- with companies under common control or ownership with us or our offices internationally;
- with third parties, partners and sponsors of the Event such as the venue provider, Phygital in its capacity as owner of the Event, ASPIRE UAE – SOLE PROPRIETORSHIP LLC in its capacity as the official Event organiser and any of its affiliates, and with sponsors / partners of the Event;
- with third parties and/or service providers such as travel and hotel operators and others for the organization, handling or execution of the Event or any of our services;
- with data processors that help us to provide our services;
- with government authorities or law enforcement (internationally or locally) upon request or if required by law;
- in connection with a merger or sale of our company assets, or if we do a financing or are involved in an acquisition, or any other situation where personal data may be disclosed or transferred as one of our business assets; and/or
- if we believe your actions are inconsistent with any terms and conditions or requirements related to the Event, including (without limitation) application terms, purchase terms, venue access terms or any terms and conditions related to your use of the Platforms or applicable legislation, or to protect the rights, property, and safety of any assets of Ethara or third parties.
Save as expressly detailed above in this section, we will never share, sell or rent any of your personal data to any third party without notifying you and/or obtaining your consent.
Ethara may without limitations share aggregated or de-identified information, which cannot reasonably be used to identify you.
Transmission of Personal Data
The personal data we collect will usually be stored and processed in the United Arab Emirates. We may, however, transfer your personal data to third parties for the purposes and legal bases for processing highlighted in this Privacy Policy.
If we do transfer your personal data to other territories, we will put in place appropriate safeguards to ensure that your personal data is properly protected and processed only in accordance with this Privacy Policy. Those safeguards include imposing contractual obligations of adequacy or requiring the recipient to subscribe to or be certified with an ‘international framework’ of protection.
Protection of Personal Data. Security Measures
We implement appropriate security, administrative, and technical measures to protect any personal data you provide. These measures safeguard your personal data against unauthorized access and unlawful processing or disclosure, as well as accidental loss, modification, or destruction.
Personal data is protected through technical and organizational measures (having regard to the nature and sensitivity of the data), which may be updated in response to technological advancements and organizational changes. Regular audits and controls are conducted to ensure compliance. However, no computer security system is entirely foolproof, and the Internet is not a secure method for transmitting information. Therefore, we do not assume responsibility for personal data submitted or received via the Internet, nor for any unauthorized access or use of that information. You agree not to hold us liable for any loss or damage resulting from the misappropriation, interception, modification, deletion, destruction, or use of information provided through the Platforms or otherwise in connection with the Event.
Retention of Information
We aim not to process or store your personal data longer than necessary for the purposes for which it was collected. We may retain your personal data in accordance with applicable laws and as necessary to fulfill our obligations. This retention is based on the need to comply with legal requirements and resolve potential disputes.
Below are examples of how we may retain your personal data:
- Where we process data in connection with your registration to use our Platforms, we do this for as long as you are an active user of our Platforms and for two years after this.
- Where we process personal data for marketing purposes or with your consent, we process the data until you ask us to stop and for a short period after this (to allow us to implement your requests). We also keep a record of the fact that you have asked us not to send you direct marketing or to process your data indefinitely so that we can respect your request in future.
- Where we process personal data in connection with performing a contract or for a competition, we keep the data for 7 years from your last interaction with us or from when the contract ends.
- Where we process CCTV footage, we hold this for a month, unless we have been asked to extract footage, in which case this is held for 10 years from the date it is extracted.
- Where we process personal data to meet legal requirements, we hold this for as long as the law requires.
Rights
Under applicable data protection laws, you may have certain rights which you can exercise (subject to exceptions) including:
- the right to be informed about the collection and use of your personal data;
- the right to access and receive a copy of the personal data held by us;
- the right to rectify any inaccurate or incomplete personal data;
- the right to request deletion of your personal data (the “right to be forgotten”);
- the right to restrict (i.e. prevent) the processing of your personal data;
- the right to data portability (to obtain a copy of your personal data to re-use);
- the right to object to specific uses of your personal data;
- rights concerning automated decision-making and profiling;
- the right to revoke the consent for future processing of your personal data; and
- the right to complain to the relevant data protection authority.
Alterations to the Privacy Policy
We reserve the right to update this Privacy Policy at our discretion. We recommend checking this Privacy Policy frequently to stay informed about changes and how we protect personal data.
By using the sites and services, you acknowledge and agree that it is your responsibility to periodically review this Privacy Policy and be aware of the changes. Your continued use of the sites and services following any modifications to this Privacy Policy will be deemed as your acceptance of those changes.
The Privacy Policy may occasionally be translated into other languages. In the event of any discrepancies between the English version of this Privacy Policy and its translations, the English version shall prevail.
